HR Assistant
Overview
​
The Human Resources (HR) Assistant, reporting to the Operations Manager, is a generalist role covering a wide range of HR support and assistance. The HR Assistant is responsible for responding to staff queries and providing HR related information, preparing documents, reporting, developing policies and procedures in a range of areas including HR systems, BPJS administration, performance review and management support, recruitment, coordinating employee onboarding and orientation, and assisting with staff training and development.
Location: Bintan, Kepulauan Riau, Indonesia.
Hours: Full time.
Summary of responsibilities

Human Resources -
​

Assist with day-to-day operations of HR functions and duties.

Provide clerical and administrative support to Operations Manager.

Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.

Answer employee questions and properly handle complaints and grievance procedures, referring more complex questions to management.

Update and maintain the training database of all staff, including the filing of training documents.

Maintain records related to grievances, performance reviews, and disciplinary actions.

Maintain the consultant roster and translator/interpreter roster. Be responsible for filing relevant documents.

Acts as a liaison between the organization and external benefits providers and vendors, which may include health, workforce, and retirement insurance providers.
Recruitment -

Participate in recruitment efforts, providing support to Operations Manager including posting job ads and organising resumes and job applications.

Schedule interviews and assist in the interview process as required.

Collect new employee personal and tax information for YPKI records.

Ensure background and reference checks of potential new employees are completed.

Prepare new employee files for all recruits.

Orient new employees to the organization (setting up a designated log-in, email address, etc.).

Serve as a point person for all new employee questions, referring more complex questions to management.

Experience, skills and knowledge required

Bachelor's degree in a relevant discipline from an accredited institution.

Prior related office experience required.
-
Proven experience as HR Assistant, Staff Assistant or relevant human resources / administrative position is preferred.

Experience preparing reports, maintaining employee files, scheduling meetings preferred.

Experience working across cultures, using English in the workplace as needed.

Excellent Google Suite and/or Microsoft Office skills.

Basic knowledge of Indonesian labour laws.

Demonstrated understanding of and adherence to confidentiality.
-
Ability to manage competing priorities and multiple tasks, and deliver to time.
-
Ability to communicate effectively, both orally and in writing.
-
Ability to cultivate relationships and collaborate with individuals in a culturally diverse setting
-
Professional level Bahasa Indonesia and basic English required.

Additional information
​
Duration of appointment: initial three-month contract, followed by one year contract with possibility for extension.
Salary: Our salary bands are competitive – salary offers are commensurate with qualifications.
Benefits: BPJS, phone allowance and travel allowance.
Start date: September 2021.
